Workspace Office Solutions and LetsComIT gain blue chip contract

LetsComIT have been chosen by Solutions@Work to supply their national maintenance team with a fully integrated PDA and scheduling system for use, initially, with their major new blue chip contract.

Due to the size of the new contract, and the many sites involved, Solutions@Work identified the need to communicate more effectively with their mobile workforce. Management were concerned that their current methods of distributing job information by either paper or by telephone were not suitable for this particular venture and accurate data traces could not be kept. In order to uphold the highest standards of after sales service, Solutions@Work believed that these practices had a need to be streamlined.

In order to combat these concerns, Solutions@Work chose to implement both a PDA solution and fully integrated web based back office, initially only for use on this specific contract. LetsComIT created a solution entirely based around their existing working practices, which underline their philosophy of innovation, customer service and cost-effectiveness.

Now, as soon as a fault occurs, details are e-mailed directly to a dedicated support team working from one of Solutions@Work’s call centres, indicating the nature of the problem, location and contact details. This information is then logged onto the web-based back office system created by LetsComIT, by a regional manager.

Should parts be required to complete a job, a requisition order will be raised immediately by a manager, and the job not dispatched until the part has arrived. Once work is ready to be dispatched, a regional manager will select the most appropriate engineer from their region to carry out the remedial work and job information will be sent directly to his PDA.

LetsComIT PDA solution allows this data to be sent accurately and instantly, direct to the engineers whilst mobile, rather than relying on paper based job sheets or service calls to be dispatched. Once work is completed, an engineer input details of the tasks carried out using a simple series of yes/no scenarios and drop down tables. A customer can now sign directly onto the PDA to confirm the work has been carried out and this information is automatically sent back to their regional manager, where an invoice can be raised immediately. Once invoicing is complete, details are updated into their back office.
