LetsComIT flexibility proves key for Smith Electrical UK

LetsComIT have been selected by Smith Electrical UK Ltd. to provide their 20 teams of engineers with a unique and innovative PDA solution. Their mobile data application will not only improve both job and KPI reporting, but will also ensure that their levels of customer service continue to shatter all targets.

LetsComIT will supply Smith Electrical with a fully customized PDA application to send and receive job information, directly from their existing back office system to their mobile workforce, in real time. A link will also be created to a satellite navigation system which will enable engineers to provide their customers with a more accurate estimated time of arrival and automatic mileage calculation.

Smith Electrical UK Ltd., part of the highly successful Smith Group, sought a mobile data solution which was flexible enough to adapt to their unique needs, and robust enough to handle the massive volume of work with which they deal on a daily basis. Add to this, a requirement for real time information alongside details of mileage and expenditure.

Smith Electrical required a cutting edge solution to reduce the time taken by the invoicing cycle and to increase cash flow, to keep a better control over each of their jobs and to optimize communication between their main offices and their mobile employees. Smith Electrical chose a mobile data solution from LetsComIT.

Once a job has been allocated to a specific engineer, information such as where the customer is located, who the customer is and when the work is scheduled to take place, is sent directly to his PDA. The PDA solution which LetsComIT created for Smith Electrical has replicated their existing paper based job sheets, ensuring that the transition from paper to PDA is as smooth as possible.

Once work is completed on site, engineers will enter information onto their PDA using a series of simple tick boxes and scroll down menus. They will also be able to collect a customer signature on the device, and this information will be sent, via GPRS – in real time – back to their existing back office system.

Uniquely, each customer will be requested to complete a satisfaction survey on the PDA itself, which will be sent back alongside each job report. If the highest standards usually expected from Smith Electrical are not met, before an engineer is allowed to sign off the job, he is required to place a call to management. A button marked ‘call’ will automatically dial the main office and each team must provide a full explanation of why this has not occurred. Customers will also benefit from satellite navigation software, meaning the engineer will be able to give a much more accurate estimated time of arrival on site. This satellite navigation system will also allow mileage details to be returned alongside the completed job sheets.
