Crest Nicholson Deploys ITESOFT Invoice Processing Software to Streamline Document Processing

Crest Nicholson, one of the UK's leading property developers, is using ITESOFT's invoice processing solution, ITESOFT.FreeMind for Invoices, to help streamline data capture from invoices.

FreeMind for Invoices is used for processing Crest Nicholson's incoming invoices, cutting out manual keying of data to the company's new financial management system, Agresso.

Scanning of all documents takes place at the company's Head Office. Data captured and validated within FreeMind is uploaded as a batch process into Agresso. Invoice header information (index data) and the relevant image of the invoice is uploaded into the company's Optika Acorde image repository. Staff can then view corresponding invoice images from anywhere within the Agresso system, assisting in query resolution, speeding up search and retrieval etc.

Crest Nicholson is rolling out FreeMind, alongside Agresso, to all of its operating units, and will complete the project in early 2006. The FreeMind solution currently processes over 10,000 documents per month. This will grow as further document types are captured within the system. Future document types will include statements, delivery notes and construction industry scheme documentation.

Before deploying Freemind and Agresso, Crest Nicholson used a bespoke Oracle-based system to handle purchase order processing. Each regional office would process its own delivery notes and purchase invoices, with labour-intensive data input, photocopying, distributing and checking of documents. As the system was becoming obsolete, they sought a replacement to enhance efficiency of invoice processing.

According to Crest Nicholson, ITESOFT's Freemind was chosen for its powerful character recognition capabilities which reduces the need for administration and re-keying of data.
