Leading European document capture and processing software company, ITESOFT, has announced that Fédération International de Football Association (FIFA), based in Zurich, has opted for its ITESOFT.FreeMind for Invoices software solution.
FIFA’s administrative and financial operation has set up an automated solution for processing the 35,000 invoices it deals with annually, in order to improve the flow of its checking and validation circuit and eliminate any document loss or delays in payment.
Nicknamed the "United Nations of Football", the FIFA is the most important football federation worldwide. It provides the sporting, organisational and legal basis for the world of association football in terms of competitions (in particular the FIFA World Cup), player transfers, problems of drug use, etc. Much of its activity is concerned with developing football throughout the world through the various support programmes it runs for its members. FIFA is also responsible for changes to the rules of football, organising international matches and carrying out a range of administrative and financial functions. FIFA has more than 200 employees and 205 member associations.
FIFA information systems architect Daniel Kieser said, "It was after a visit to one of ITESOFT’s clients, KIABI in Lille, that we took our decision. Seeing the way their invoices were processed, we were totally convinced of the potential gains for our organisation. Our only worry was over the capacity of the solution to process invoices from more than 3,000 different suppliers. Thorough testing enabled us quickly to check that the technological process used by ITESOFT.FreeMind for Invoices was the answer."
ITESOFT.FreeMind for Invoices now digitises FIFA’s 35,000 paper invoices per year and automatically extracts the data from them. Once the information has been checked automatically, the electronic images and data are exported to the EasyAccounting validation workflow, developed by ELCA, to Infosystem AG’s Performis ERP and to the Filenet DMS. The project was integrated by Swiss solution integration specialists ELCA.
Daniel Kieser adds, "The previously complex invoice validation procedure has become very simple and efficient. We no longer lose any invoices nor have any delays in payment. In terms of financial management, we now benefit from a real-time view of our cash-flow level. In conclusion, I would say that since September 2004 FIFA has processed all of its invoices using ITESOFT with a satisfaction level of 100%."
